Job Description

Responsible for the property finance administration in the Properties Department and assisting in the co-ordination, implementation, and effective management of Properties maintenance portfolio and system.

Minimum Requirements / Qualifications
  • 3 Years experience in property administration or similar
  • Degree/ Certificate/ Diploma in Accounting
  • Strong Excel skills
  • Knowledge of MDA Property / MRI Property Central system is advantageous.
  • Strong analytical and critical thinking skills
  • Excellent interpersonal skills
  • Ability to organize, plan and strategize
  • A valid driver’s license
Key Areas of Responsibility

Finance Admin (Debtors/ Creditors/ Cashbook/ General Admin Tasks)

  • Maintain Tenant Age Analysis
  • Debt / rental collections.
  • Tenant liaison– information, queries, concerns.
  • Arrears reporting.
  • All tenant billing.
  • Reconciliations – current and historical tenant transactions.
  • Generating monthly tenant billing including issuing of statements & uploading individual municipal slips from meter reading company.
  • Preparing adjustment journals.
  • Reconciliations – current and historical tenant transactions.
  • Reconciliation & calculation of tenant deposit refunds.
  • Daily receipting – allocating receipts to tenant accounts.
  • Utilities recovery administration.

Property maintenance and co-ordination

  • Responsible for co-ordination of tasks within the properties/ maintenance department
  • Planning and implementation of maintenance schedules
  • Processing, control and manage the full job card process on system
  • All maintenance and projects to be monitored and ensure that deadlines are met
  • Needs analysis
  • Continuous feedback to maintenance team and customers
  • Liaising with suppliers, service providers, contractors and subcontractors on various matters
  • Dealing with city councils with queries and general matters.
  • Obtaining comparative quotes from different suppliers
  • Responsible for conducting monthly property inspections – including tenant entrance and exit inspections
